Fixed Assets Officer

Job Description:
To be responsible for recording the cost of all newly acquired fixed (and moveable) assets at the University of Al Dhaid, maintaining records of these assets, tagging them, and ensuring that they are properly capitalized, maintained, utilized and disposed of appropriately throughout their lifecycle.

Responsibilities:

  • Assign tag numbers to fixed assets and ensure the accurate tracking by recording fixed asset acquisitions and dispositions in the accounting system.
  • Create and monitor a system of controls, procedures and forms for recording the University’s fixed assets.
  • Review purchase orders to ensure that they match the department/college request/requirements and report any discrepancies to the concerned person.
  • Review fixed assets requests sent by colleges/department in order to provide them with the most suitable assets based on their actual needs.
  • Collect fixed assets from the university warehouse and ensure they are delivered to the correct custodian efficiently and in a timely manner. As well as complete any required paper work and/or signatures.
  • Work closely with the other departments/colleges in tracking asset costs (quantity/quality) in alignment with their planned budget.
  • Conduct periodic investigations and reviews of fixed assets to ensure that they are properly capitalized and maintained, as well as handle the process of disposing of unviable assets appropriately.
  • Reconcile the balance in the fixed asset subsidiary ledger to the general ledger.
  • Prepare audit schedules relating to fixed assets and assist the auditors in their inquiries.
  • Manage the designated asset tracking system/software in registering new assists, tracking details, location and their custodian’s details.
  • Ensure that Health and Safety standards are implemented at all times, and report any matters of concern to the line manager and/or related personnel in order to take action.
  • Complete any other job-related tasks as assigned by line manager within the expected time limit.

Qualifications:

  • Minimum of Diploma in Business Administration, Management, or a relevant discipline.
  • 2-4 years of UAE experience in similar role preferably in higher education institutions.
  • Priority is to UAE Nationals.
